Room and office booking

Room scheduling without double bookings

Assign availability and appointments to real rooms, so the team knows where each specialist works and when the space is free.

The result

What changes in your daily work

Rooms are part of the facility configuration and schedule. MyMedCal checks the selected time and place when availability is created, helping coordinators avoid assigning the same room to overlapping work.

  • A clear weekly view of room use
  • Fewer manual checks before confirming availability
  • Better use of a limited number of treatment rooms
  • A shared understanding of where each appointment takes place

In practice

How it works

  1. 1

    Configure facility rooms

Rooms and their names are established as part of the facility setup.

  2. 2

    Assign availability

    Choose a room when creating a specialist's in-person schedule.

  3. 3

    Resolve conflicts before publishing

Overlapping schedules are identified so the team can choose another time or room.

Frequently asked questions

Can I add rooms myself at any time?

No. Rooms are added during the initial system configuration. Contact the technical team when the facility needs more rooms.

Can we choose room names?

Yes. Room names are agreed during the initial configuration. Later name changes are handled with the technical team.

Does MyMedCal prevent two schedules in one room?

Yes. The scheduling workflow checks for conflicts when the same room and time would overlap.

Can I view the whole week by room?

Yes. The room view presents days, hours and a separate column for every configured room.

Is fully online availability shown in the room view?

No. Availability that does not use a physical room is shown in staff-oriented views rather than the room schedule.

Can an appointment outside the normal schedule use a room?

Yes. When an authorised user adds an exceptional appointment, they can assign an available physical room or an online location.
